Mechanical services installations—heating, cooling, ventilation, pipework, plant and controls—are among the most complex elements to document at project completion. Unlike electrical systems, which follow relatively standardised containment routes, mechanical services involve three-dimensional distribution networks, bespoke fabrication details, hidden connections, and equipment that changes significantly between design intent and final installation.

For mechanical contractors and building services engineers, producing accurate as-built drawings is not simply a contractual obligation. It is a practical necessity for facilities management, compliance with building regulations, coordination with other trades, and future maintenance or modification work.

What Mechanical As-Built Drawings Must Show

A complete set of as-built drawings for mechanical installations should document every installed component in sufficient detail for a third party to understand, maintain or modify the system. This typically includes pipework routes and sizes, ductwork distribution, plant locations, valve positions, insulation types, access points, and control zones.

The level of detail required depends on the contract and the building type, but at a minimum, the drawings must show deviations from the original design. This includes changes in routing to avoid clashes, alterations in equipment specifications, additional supports or brackets, and any omissions or substitutions agreed during the build phase.

By the time the main contractor calls for handover documentation, the installation team may have moved to another project. Another common issue is the lack of a single coordinated drawing set. Producing Mechanical As-Builts from Site Redlines

The most practical approach to producing mechanical as-built drawings is to incorporate site redline markups into the original CAD files. This preserves the design framework, maintains layer structure and referencing, and ensures that only genuine changes are updated.

Another issue is incomplete documentation of concealed work. Pipework and ductwork installed above ceilings, in risers, or below floors must be documented before they are enclosed. Relying on memory or assumptions after the fact leads to inaccuracies that can be costly to rectify during future works.

Finally, failing to coordinate mechanical as-builts with electrical, structural and architectural drawings results in inconsistencies that undermine the value of the handover package. A coordinated set, with consistent referencing, levels, and grid lines, is essential for effective facilities management.
